General Conditions of Sales

The registration, the use of services and the use of Hotelsbook entail acceptance by the user of the General Conditions mentioned below. Registration and use of services are accessible only to adults with the capacity to act. Customers wishing to register are required to disclose only their personal data and guarantee that such data are true, correct and up to date.

1.Prices

Prices are calculated in Euro and cover the hotel stay mentioned in the booking. The chosen price does not include personal expenses, such as minibar, telephone calls, pay TV use and other services offered by the hotel.
In case of unforseen delay in arriving at the hotel, customers must contact their hotel directly (the phone number is shown on the voucher) and notify the delay.

2.Booking and payment information

The total cost of the booked hotel stay shall be charged to the credit card used for the on-line booking.

  • Payment of the entire stay booked must be made at the end of the booking procedure.
  • Prices and/or hotel availability are guaranteed once the full payment has been made.

To further guarantee their transactions, customers shall receive two different e-mail messages:

  1. A first brief message summarising the booking data and certifying availability and prices.
  2. A second brief message confirming the credit card transaction details.

The names given for booking must be those of the people who shall use the booked services: repeated or missing names may cause the hotel to refuse the booking.

3. Vouchers

When checking in customers must present a copy of the voucher. Vouchers must be printed by the costumer. Vouchers can be printed out only at the end of a successful transaction (booking and payment) or later, by accessing the login area.

4.Cancellations and amendments

Cancellations or amendments made between booking date and 72 hours prior to arrival date are subject to a fee of Euro 15 per reservation.
Cancellations or amendments made between 0 and 72 hours from the arrival date are subject to a cancellation fee equal to the first night accommodation if not noticed otherwise.
For accommodation during Special Event periods CUSTOMERS WILL BE NOTIFIED AT THE TIME OF BOOKING IF SPECIAL CONDITIONS WILL APPLY

Your reservation can be cancelled directly by retrieving your booking in the login section.
Once the reservation has been cancelled, the system will send a cancellation notice stating the cancellation fee to your mailbox.
Our accounting department will credit within 5 working days your account with the amount minus the cancellation fee.

5. Hotel classification.

The hotel category is expressed by stars and is the official classification in force in the hotel’s country, whenever that country’s legislation requires it. Not all the countries have an official classification yet.
Star ratings are used to symbolise the overall quality, level of service, food standard and range of facilities available in any given hotel property. The criteria applied within each country will vary depending on the specific requirements established by the relevant issuing body but the outlines below will give a general.

1* Majority will be small, independently owned properties. There is likely to be a limited range of meals and facilities.

2** Varying from small to medium sized properties offering more extensive facilities. Reception and staff will aim for a more professional presentation than at one star level and a wider range of services, including food and drink, is likely to be found. Some rooms may be provided with en-suite facilities but this is not guaranteed.

3*** Hotel properties will usually be of a size to support higher staffing levels and with a greater quality and range of facilities. Reception and public areas will be more spacious. All bedrooms should come with en-suite facilities and room service may be available.

4**** At this level there should be a noticeable difference in the degree of quality in the furnishings, décor and equipment. Bedrooms are usually more spacious than those found in lower starred properties. Services such as porterage, 24-hour room service, laundry and dry cleaning may be available.

5***** These properties should provide spacious and luxurious accommodation throughout the hotel. Flawless attention to the guest's requirements should be provided.

6.Customer’s obligations

The participants must have a valid passport or other identity document accepted for entry in all of the countries in which the stay shall take place and all relevant visa and all required health certificates, if any. The participants shall have to observe all normal cautions and the specific laws and regulations in force in the countries of destination. Luggage is transported at the customer’s risk, and the organisation shall in no way be held responsible for losses or damages.

7.Organisation obligations

It is unlikely that we will have to make any changes to your travel arrangements, but occasionally, we may have to make changes and we reserve the right to do so at any time. Most of these changes will be minor and we will advise you of them at the earliest possible date. We also reserve the right in any circumstances to cancel your travel arrangements. However, we will not cancel your travel arrangements less than 2 weeks before your departure date, except for reasons beyond our reasonable control or because you have failed to pay the final balance. If we are unable to provide the booked travel arrangements, you can either have a refund of all monies paid or accept an offer of alternative travel arrangements of comparable standard from us, if available.

Hotelsbook shall not be liable for any failure or delay in performance of its obligations which results directly or indirectly from any cause or circumstance which is beyond its reasonable control. The following shall be regarded as examples of such circumstances: act of God, outbreak of hostilities, riot, civil disturbance, acts of terrorism, revolution, the act of any government or authority (including but not limited to refusal or revocation of any licence or consent), fire, flood, lightning, explosion, fog or bad weather, interruption or failure of a utility service (including but not limited to electricity, gas, water or telecommunications), renovations undertaken by the hotel, strikes, lockouts or boycotts, embargo, blockade.

8.Protection of Privacy

When booking a stay on our website, the customer is required to provide some personal information, such as name, e-mail address, address, telephone number. This information allows us to process your booking and the sale of our services, and to keep the customers updated on the state of their bookings or to contact them in case of need.

Processing of personal data is carried out in full compliance with the existing laws (Legislative Decree 196/2003 on the protection of personal data), which can be viewed directly on our website.

9. Management of credit card data.

Your credit card data, which are necessary in order to pay for our services, are never memorised by Hotelsbook’s information system, they are managed directly and exclusively by the information systems of Consorzio Triveneto spa, the company managing credit card payments on behalf of Deutsche Bank spa, in full compliance with the existing laws (Legislative Decree 196/2003 on the protection of personal data), which can be viewed directly on our website.

10.Legislation

Contracts regard the offer of hotel stays only, as they cannot be considered agreements for travel organisation or tourist packages, and are regulated by the following provisions of the International Convention on Travel Contracts (CCV) - Brussels, April 23, 1970 - art. 1, n.3 and n.6; art. 17 to 23; art. 24 to 31, with regard to provisions that differ from those regulating travel organisation agreements and other agreements concerning the sale of the single service which is the object of the agreement.

11.Disclaimer

This site is provided by Hotelsbook on an "as is" basis and might contain errors or typographical mistakes. Hotelsbook does not provide any representation or warranty, either explicit or implicit, on the site functioning, the information contained therein, the software or the products present in the site. Hotelsbook shall not be held responsible for damages of any kind deriving from the use of this website, including direct, indirect, incidental, punitive and consequential damages.

12.Compulsory notice

Pursuant to Art. 16 of Law 269/98 The Italian law punishes with imprisonment all crimes pertaining to pornography, and prostitution of minors, including when such crimes are perpetrated abroad.

13. Jurisdiction

These General Conditions are governed and construed in accordance with Italian law and the Italian Civil Code. We reserve the right to make changes to our website and to these General Conditions, at any time. In the event of any disputes arising out of this agreement the parties agree to submit to the exclusive jurisdiction of the Courts of Rome, Italy.

The purchase of a stay entails the integral acceptance of the above General Conditions.
